At RUN Harpenden, we are committed to maintaining the trust and confidence of all our runners as they run with us in the real world, as well as when we communicate electronically. We make the same commitment to those who may visit our website out of interest or to make an enquiry.

RUN WITH US

If you run with us, we’ll need access to slightly more detailed personal info as we’ll have a contractual obligation to provide the services you have booked with us.

Enquiries

If you contact us with an enquiry via a contact form on our website, by email or by phone, you’ll need to provide us with your name and email address or phone number.  We’ll use it to reply to you and send you the information you’ve requested.

Similarly if you sign up to be notified when bookings open for an upcoming course or to be added to the waiting list of a currently full course, you’ll need to leave your name and email address. We’ll use it to let you know your status on the waiting list, or notify you when bookings open.

Newsletter Sign Up

If you’d like to keep up with our latest news and hear about upcoming runs, courses, training sessions and workshops you can subscribe to our e-newsletter.  We collect your name & email address and we use a third-party provider, mailerlite, to deliver our newsletter. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter. You can unsubscribe to general mailings at any time of the day or night by clicking the unsubscribe link at the bottom of any of our emails or by emailing info@runharpenden.run.

Cookies

Like most websites, RUN Harpenden use cookies placed on your device (such as computer, smart phone or tablet) as you browse this website.  They are used to ‘remember’ when your device visits our website. Cookies cannot give us access to your device or to information beyond what you provide. Most web browsers automatically accept cookies; but if you disable cookies, you can still view the publicly available info on our web site.

Analytics

We use a third party service, Google Analytics, to analyse traffic to this web site in order to understand our visitors’ needs and to improve our site for them. We do this to find out things such as the number of visitors to the various parts of the site. We collect only anonymous, aggregate statistics. For example, we do not tie a specific visit to a specific IP address.

Our Runners’ Privacy

If you ever run with RUN Harpenden (examples of ways to run with us include, a drop-in run, a coached session, a workshop or an 8-week course), you will first have to register with RunTogether and book your place on the RunTogether website at https://runtogether.co.uk/.

Who is RunTogether?

RunTogether is part of England Athletics, the membership and development body for grassroots athletics and running in England. RUN Harpenden is a registered RunTogether Group and the RunTogether website handles all our runners’ bookings and payments for our services.

What Personal Data Does RunTogether Collect?

What Personal Data Does RunTogether Share With Us?

RunTogether shares some of your personal data with RUN Harpenden. This may include your name, date of birth, address, e-mail address, phone number, gender, emergency contact details and relevant health information (Athletics Data). This data is stored by RunTogether on their systems but can be accessed in the RUN Harpenden “Admin Area” on RunTogether or via the RunTogether “Run Leader App”.

How We Use Your Personal Data

We use your Athletics Data to manage your involvement with RUN Harpenden:

  • to be able to administer your group, run, workshop or course membership.
  • to communicate with you about your bookings.
  • to design & customise sessions and courses to the specific needs and goals of our runners.
  • to obtain feedback from you and provide follow up advice.
  • for our own market research to improve our services or develop new ones

Our lawful basis for processing your personal data is that we have a contractual obligation to you to provide the services you have booked with us.

Your RUN Harpenden “Runner’s Page”

We also use your name and email address to create an account for you on runharpenden.run. This gives you access to your personal ‘Runner’s Page’ where you can download course and session materials and info-packs.

WhatsApp & Other Social Media

Our runners use WhatsApp groups to keep in contact, for run chat, to make arrangements to run together or plan social events. RUN Harpenden also has a Facebook page and Twitter account. All our runners are free to join and leave these groups and pages as they like. The providers of the social media platforms have their own privacy policies and RUN Harpenden does not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data.

By using our web site or signing up for our newsletter, you consent to the collection and use of the information you provide to us as outlined in this Privacy Policy.
Where our legal basis is consent, you have the right to withdraw consent any time.

Contract

If you book to run with us, we do not rely on consent as a legal basis for processing your personal data. In this case our lawful basis for processing your personal data is that we have a contractual obligation to you to provide the services you have booked with us.
For example, we’ll need to send you a confirmation, mark our class registers, send you your homework and course materials, answer your questions etc.

Legitimate Interests

If you’ve run with us, or contacted us about running with us, any time in the past two years, our lawful basis for processing your personal data is that of a ‘legitimate interest’. We may contact you with information about upcoming opportunities to run with us, such as courses, workshops, coached sessions and drop-in runs.

We know that athletes that run with us can come and go; and come back again for another course of coached sessions or drop-in runs. Sometimes we can lose motivation and need to run together again in a group to re-kindle our enthusiasm. It would seem odd to us, if we didn’t let know about these opportunities.

For example,

  • you’ve previously been on, or are currently on one of our 8-week coached courses – we’ll send you information about follow-on courses, drop-in sessions and workshops.
  • you enquired about our 8-week coached courses in January but the dates didn’t work out for you, or the course was full – we’ll send you information about other courses, drop-in sessions and workshops later in the year.

Where we use your personal data on the basis of ‘legitimate interest’, it should also seem very reasonable to you. If it doesn’t, please let us know and we will no longer contact you. Click the unsubscribe link at the bottom of any of our general emails or email info@runharpenden.run.

Data Retention

We will only keep your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, insurance or reporting requirements. By law we have to keep basic information about our customers for six years after they stop being customers for tax purposes.

Your data is not processed for any further purposes other than those detailed in this policy.

Access

By the way, you are entitled to view, amend, or delete the personal information that we hold. Please email your request to info@runharpenden.run

Updates

We reserve our right to make any changes and updates to the Privacy Policy without giving you notice, as and when we need to. We’ll always make sure that the most up to date policy is posted on our website, though, so you can check it out whenever you like.
